Why Verification Cadence Matters More Than Database Size

A 10-million-record database with a stale verification cycle is worth less than a 50,000-record list re-verified last month. Here's why cadence, not size, predicts campaign performance.

All insights

The number that gets marketed vs. the number that matters

Vendor homepages lead with database size: millions of contacts, tens of millions of companies, coverage across dozens of countries. Size is easy to market and easy to compare at a glance — which is exactly why it gets emphasized, even though it's a weak predictor of campaign performance.

Contact data decays continuously

People change jobs, get promoted, switch employers, or leave the workforce constantly. Estimates across the B2B data industry commonly put annual data decay in the 20–30% range. A database frozen at a point in time, however large, degrades from the moment it's compiled.

What verification cadence actually measures

Verification cadence is how often a vendor re-checks records against current sources — direct confirmation, NPI cross-referencing for healthcare contacts, deliverability testing for emails, and phone validation for direct dials. A shorter cadence means fresher data at the moment you buy it, regardless of how large the underlying database is.

Why this matters more in healthcare specifically

Physicians change practices, hospital affiliations shift, and departmental leadership turns over regularly. A physician record that was accurate 18 months ago may point to the wrong practice, the wrong specialty focus, or a contact who has since left the organization entirely.

How to actually check this before buying

  • Ask for a documented last-verification date on sample records — not a general claim about "regular updates."
  • Ask what method was used: automated matching only, or a human QA pass layered on top.
  • Ask how bounced or invalid records are handled after delivery.

A useful mental model

Think of a data vendor less like a warehouse (how much do they have in stock) and more like a supply chain (how fast can they confirm what's currently true). The second question is harder to market on a homepage, which is exactly why it's worth asking directly.
