Marketing claims don't differentiate vendors — specifics do
"Verified," "comprehensive," and "accurate" appear on almost every healthcare data vendor's homepage. None of those words tell you whether a specific list, scoped to your specialty and geography, will actually land in inboxes and reach real decision-makers. Use this checklist instead.
1. Ask for a documented last-verification date
Not a general accuracy percentage — a per-record date showing when that specific contact was last confirmed. A vendor unwilling to show this on a sample is asking you to trust a claim you can't check.
2. Request a sample scoped to your actual criteria
A generic demo file tells you nothing about how the vendor performs for your specialty, geography, and practice setting. Insist on a sample matched to your real target list.
3. Check for NPI cross-referencing, not just self-reported titles
For US physician data specifically, NPI-based matching is a meaningful baseline. Self-reported or scraped titles without NPI cross-referencing decay faster and misclassify specialty more often.
4. Understand the pricing model before you're deep in a sales process
Per-record, per-project, and annual-licensing models all exist. Know which one you're being sold before you invest time in a demo — a project-based need doesn't fit an annual-minimum contract well.
5. Ask about practice-setting segmentation
Specialty alone isn't enough for most healthcare campaigns. Whether a physician is in a large IDN, a private practice, or an academic medical center changes the pitch and often the buying process — check whether this is included or an extra.
6. Confirm turnaround time for a real sample
Hours versus days matters when you're evaluating multiple vendors on a deadline. A vendor that can't produce a scoped sample quickly may also be slow on the full delivery.
7. Check whether the vendor specializes in healthcare or covers it as one vertical among many
Specialist vendors tend to have deeper segmentation and faster iteration within healthcare specifically; multi-industry vendors offer broader reach but a shallower model for any one vertical.
8. Ask what happens to bounced or invalid records
A vendor confident in its data should have a clear replacement or refund policy for records that don't verify — ask before you buy, not after a bad batch.
9. Look for compliance awareness, not just data volume
Healthcare outreach touches HIPAA-adjacent considerations depending on what you're sending and to whom. A vendor that can speak clearly to how its data was sourced and what it can (and can't) be used for is a better long-term partner than one focused purely on volume.
10. Compare at least two vendors on the same criteria
Never evaluate a single vendor in isolation. Request comparable samples from two or three providers, using the same specialty and geography brief, and compare them side by side.
